What to Expect

Behaviour Support is much more than attending an appointment. Here is what the journey looks like and what your funding covers.

Stage by stage

What each step involves

Every person is different, so hours are estimates. We will always talk them through with you before we begin.

Referral & Intake

Initial Intake

1-2 hours

Our first proper conversation. We get to know the person, the family and what is happening, and make sure behaviour support is the right fit.

  • Talking through the referral, current concerns and what you hope will change.
  • Checking the NDIS plan and the funding available for behaviour support.
  • Explaining how we work, the likely hours and the service agreement.
  • Gathering consent so we can speak with the people involved.

Information Gathering

Reviewing Existing Information

1-3+ hours

Before we meet in person, we read what already exists, so you do not have to tell your story from scratch.

  • Previous behaviour support plans and incident reports.
  • Allied health, medical, psychology and school reports.
  • Risk assessments and any restrictive practices currently in use.
  • Notes from support workers and other providers.

Time depends on how much information there is. A thick file takes longer to read well, and reading it well saves time later.

Assessment & Observation

Behaviour Assessment & Observations

1-5+ hours

We spend time with the person in the places life actually happens, watching, listening and noticing patterns.

  • Observations at home, school, day programs or out in the community.
  • Getting to know the person's strengths, interests and communication.
  • Looking at environments, routines and sensory factors.
  • Setting up simple recording so we can see patterns over time.

Throughout

Stakeholder Consultation

15 min to 1+ hour per consultation

Behaviour makes sense in context, so we speak with the people who know the person best.

  • Family members and carers.
  • Support workers and team leaders.
  • Teachers, therapists, GPs and psychiatrists.
  • Support coordinators and other providers.

Consultation happens across the whole journey, not only at the start. Many are short phone calls. Some need a longer meeting.

Interim BSP

Interim Behaviour Support Plan

6-10 hours

An interim plan gives everyone safe, consistent strategies to use now, while the full assessment continues.

  • Early strategies to reduce risk and prevent escalation.
  • Clear guidance for responding safely when things get hard.
  • Details of any regulated restrictive practices and how they are used.
  • Lodgement with the NDIS Quality and Safeguards Commission when required.

Where a regulated restrictive practice is in use, the NDIS rules require an interim plan within one month of us starting.

Functional Behaviour Assessment

Functional Behaviour Assessment

Varies

This is the detective work. The functional behaviour assessment explains why behaviours of concern happen, and what need they are meeting.

  • Analysing the data collected by the people around the person.
  • Identifying triggers, patterns and what happens before and after.
  • Working out the function of each behaviour.
  • Building the clear picture the full plan is based on.

Hours vary with complexity, the number of settings involved and how much data is needed. We will give you an estimate before we begin.

Comprehensive BSP

Comprehensive Behaviour Support Plan

8-15+ hours

The full plan, built on everything we have learned. It is written to be used on a real Tuesday afternoon, not to sit in a folder.

  • Proactive strategies that change environments, routines and communication.
  • Skill building, so the person has new ways to get their needs met.
  • Reactive strategies for safe responses in difficult moments.
  • A plan to reduce and remove any restrictive practices.
  • How progress will be measured and when the plan will be reviewed.

Where restrictive practices are in use, the comprehensive plan is due within six months.

Training & Implementation

Training & Implementation

1-3+ hours per session

A plan only works when people use it. We make sure everyone understands the strategies and feels confident putting them into practice.

  • Training for families, support workers and school staff.
  • Modelling strategies in real situations.
  • Simple summaries and visual supports where they help.
  • Adjusting anything that does not fit the household or setting.

Monitoring & Review

Progress Reviews

30 min to 2+ hours per review

We keep checking in, because people and circumstances change.

  • Looking at incident data and progress towards goals.
  • Checking what is working and what needs to change.
  • Stepping down restrictive practices as safer strategies take hold.
  • A formal plan review at least every 12 months, and sooner if needed.

Throughout

Reports & Documentation

30 min to 3+ hours

Good documentation protects the person's rights and supports their NDIS plan.

  • Progress reports for plan reassessments.
  • Reporting to the NDIS Commission where required.
  • Letters of support and evidence for funding requests.
  • Records that meet the NDIS Practice Standards.

What about...

Emails, phone calls and admin

Behaviour support involves a lot of communication: coordinating with other providers, answering your questions, arranging observations and following up after meetings.

When this work is for the person's support, it is part of the service and is billed as set out in your service agreement. We keep it purposeful, and we never pad it out.

Travel

When we visit in person, travel time may be claimable within the limits set by the NDIS Pricing Arrangements.

We only charge travel where it is agreed in your service agreement, and we will talk it through with you first. Many consultations can happen by phone or video instead.

An honest question

Why you might be billed without an appointment

It can be confusing, and sometimes worrying, to see time billed for a week when you did not see us. We understand that, and we want you to feel comfortable asking about it.

Much of behaviour support happens behind the scenes. Analysing observation data, writing and updating plans, preparing training, speaking with a psychiatrist or a school, and meeting NDIS Commission requirements are all real work done for the person. The NDIS allows these non face to face supports to be claimed when they are agreed in your service agreement.

What that means for you:

  • You will know the estimated hours for each stage before we start.
  • Nothing is billed outside what your service agreement allows.
  • You can ask us what any time was used for, whenever you like.
  • If funding is running low, we will tell you early and plan together.
